Alexandra C. was ultimately selected following direct conversations with the client team, allowing staffing coverage to be finalized efficiently under accelerated timelines while maintaining professionalism and organized communication throughout the process.
The staffing role included attendee interaction, maintaining a polished booth presence during full conference hours at The Venetian, adapting to changing event needs, and supporting ongoing client engagement throughout the HIMSS schedule.
Following the initial booking, the client expanded coverage requests and extended staffing support into additional event days, reflecting confidence in the execution and responsiveness of the operational coordination process.

engagement across multiple venues and long event days. Hosted throughout major conference locations including the Venetian Expo, the activation focused on creating memorable guest experiences, increasing booth visibility, and driving audience interaction through live mascot entertainment. One of the biggest operational challenges surrounding this project was the extremely compressed timeline between the initial staffing request and the live activation dates. Coordination moved quickly through staffing confirmation, scheduling logistics, badge preparation, venue access planning, invoicing, and operational communication to ensure every element remained fully organized before the event began.
Derion E. was selected for the assignment based on his reliability, energy, and ability to perform successfully within highly interactive promotional environments. Prior to the activation, detailed preparation calls were conducted to review venue transitions, costume logistics, staffing expectations, event schedules, audience engagement goals, and onsite operational procedures.
Responsibilities throughout the activation included entertaining attendees while in costume, posing for event photography, encouraging booth interaction, supporting crowd engagement opportunities, and maintaining a professional and approachable brand presence during both daytime conference coverage and evening hospitality activations.
Additional coordination included point of entry confirmations, communication with onsite event contacts, changing room logistics, and accommodating last minute venue modifications only days before execution. Due to the physical demands associated with mascot performance work, careful scheduling and operational planning were essential throughout the project.
This activation highlighted NYE Staffing’s ability to execute experiential trade show staffing projects under accelerated timelines while maintaining organized communication, dependable staffing support, and smooth operational coordination across multiple Las Vegas venues.

The activation required experienced Spanish and English speaking event staff to support transportation logistics, directional assistance, guest coordination, and attendee flow management. Operations extended across multiple Las Vegas venues including the Cosmopolitan Las Vegas, the High Roller experience, and additional hospitality locations throughout the event schedule, requiring organized staffing deployment and continuous communication between onsite teams and client management.
Throughout the planning process, staffing numbers shifted several times while schedules, shift lengths, and operational requirements continued evolving close to the live event dates. Initial requests for large bilingual staffing teams were later reduced, expanded again, and adjusted repeatedly as the event scope developed.
The project also involved extensive vendor onboarding and compliance coordination before final approval. Administrative preparation included COI processing, W-9 revisions, insurance documentation, vendor agreements, operational planning calls, staffing schedules, and communication across multiple management contacts and event stakeholders.
Staff responsibilities included directional support, transportation assistance, ticket distribution, bus coordination, attendee guidance, hospitality support, and maintaining smooth movement for large guest groups throughout multiple event experiences involving hundreds of attendees.
Additional operational challenges included last minute staffing increases, extended event hours, transportation timing adjustments, and confirming bilingual language capabilities across the full staffing team shortly before execution.
Despite the constantly evolving scope surrounding the activation, the event was executed successfully through responsive communication, scalable staffing coordination, and proactive logistical planning under demanding live event conditions.
This project demonstrated the importance of flexibility, operational organization, and reliable staffing infrastructure when managing high volume hospitality and conference programs in Las Vegas. Learn more about our Las Vegas conference staffing services.
