The event needed quick staffing support for a last minute request. Service ran from 7:00 PM to 12:00 AM, so the team had to arrive ready and stay focused.
Because NYE Staffing has worked with The Hudson since 2023, the team already knew the venue, service flow, and guest needs. This helped setup move faster and made the event easier to manage.
The venue works with NYE Staffing about three to four times each month. As a result, many events use staff who already understand the space and the service standards.
RW Prime Casino Crowd Management Activation
RW Prime at Resorts World New York City partnered with NYE Staffing for a large nightlife and hospitality activation with training days, VIP event nights, and overnight casino support.

The project needed bartenders, hosts, bottle service staff, floor managers, bussers, barbacks, registration staff, brand ambassadors, and crowd management teams. NYE Staffing focused on using the same core team to keep service steady and reliable.
Training took place in clear steps. First, leaders and bartenders reviewed the plan. Then the full team walked through guest flow, service areas, cocktail batching, venue rules, and team roles.
On April 17, NYE Staffing sent 8 staff members for training, including 2 Floor Managers and 6 Bartenders. On April 20, the team grew to 25 staff members for a full training day. Another training session took place on April 24 before the live event nights.
NYE Staffing also planned transportation each day. Two vans helped bring staff from Queens and Brooklyn to the casino together. This kept arrivals organized and helped the team start each shift on the same page.
During the live activation, Nicole H. and Antonio R. led event operations onsite. They managed staff placement, floor support, team communication, and service flow throughout the schedule.
Alexander C. led the crowd management team. He worked with venue security to guide guest movement, manage lines, and support busy areas across the gaming floor.
From April 29 to May 3, NYE Staffing deployed 87 staff members across five event days. The team supported overnight guest flow, casino floor coverage, crowd control, and late night operations with clear communication and steady service.
GEM Awards Registration Support at Cipriani
The annual GEM Awards at Cipriani in New York City relied on NYE Staffing for registration operations and guest check in support throughout the event. Our team has supported this event every year since 2021, helping manage guest check in operations, front of house flow, and onsite coordination for each edition.

The project included one event captain and seven registration staff members, with NYE Staffing also providing eight (8) iPads rented directly to the client for onsite check in operations, guest arrivals, attendee tracking, badge distribution, and smooth event flow throughout the evening.
Our registration team handled guest list uploads, live attendee management, onsite communication, and coordination with event organizers to help maintain an organized and smooth arrival experience for attendees.
The activation required clear communication, organized execution, and technology coordination for a high profile awards event with recurring annual support. Because of our long standing relationship with the client, the staffing process remained efficient and well coordinated from setup through guest check in operations.
POLYMER VIP Conference Registration Staffing
NYE Staffing supported a multi day VIP financial conference hosted across Pier 59 and Pier 60 in New York City. The event required high volume registration staffing operations for more than 1,000 attendees per day.

The registration team managed attendee check in, QR code scanning, badge distribution, guest list coordination, and live support using Eventscase and iPad based registration systems throughout the conference experience.
Staff also supported speaker arrivals, sponsor coordination, and long guest line management while maintaining direct communication with onsite leadership teams during all event days.
The project required staggered scheduling, team continuity, and organized front of house execution to help maintain efficient registration flow during a fast paced VIP conference environment. Through consistent coordination and experienced registration staffing, the event maintained a smooth guest arrival experience throughout the activation.
Electric Zoo Music Festival
NYE Staffing proudly provided large scale staffing and operational support for the internationally known Electric Zoo Music Festival at Randall’s Island Park in New York City. The multi day festival welcomed more than 100,000 guests and required strong coordination, fast communication, and reliable staffing support across every stage of the event.

Our team worked closely with an international production group, including organizers based in Germany, to help manage festival operations before, during, and after the event weekend. Because the project moved quickly and schedules changed often, clear communication and daily coordination were critical to keeping operations organized and on schedule.
The festival was originally scheduled to begin on Friday, and our team was already organized and prepared to arrive onsite starting at 8:00 AM. However, the first day of the festival was canceled only two hours before the scheduled start time. Instead of losing momentum, NYE Staffing worked closely with the client to use that day for team review, operational updates, and additional preparation ahead of the live festival weekend. During training, all staff arrived learning site operations, transportation procedures, team assignments, and guest service expectations. For the live festival days on Saturday and Sunday, staff members wore green shirts provided by the client to match the official event operation teams and maintain a unified festival look across the grounds.
NYE Staffing managed a wide range of staffing positions throughout the festival, including crew catering support, ADA parking operations, artist area assistance, office runners, staffing coordinators, golf cart drivers, boneyard logistics teams, and guest facing event staff. Staffing needs increased throughout the weekend, beginning with approximately 50 staff members on the first day and growing to more than 80 staff members on the second and third days.
One of the biggest challenges of the project was transportation logistics. Moving large groups of staff members together across New York City and onto Randall’s Island required detailed planning and precise timing. To solve this, NYE Staffing coordinated transportation directly with CharterUP while also deploying two company vans that each carried up to 16 passengers. Shuttle systems and centralized meeting points were organized so staff could arrive at the festival grounds together, begin shifts on time, and move efficiently throughout the site.
Despite multiple schedule revisions, changing operational needs, and the fast pace of festival production, the event was successfully completed with organized staffing coordination and consistent onsite support from beginning to end.
This project became an important milestone for NYE Staffing because the agreement with the festival operated as an exclusive staffing partnership. Both the client and our team were highly satisfied with the results, the communication, and the level of service delivered throughout the event weekend. The success of Electric Zoo demonstrated NYE Staffing’s ability to support large scale live events while maintaining professionalism, flexibility, and dependable operations under pressure.
Adobe Experience Makers – The Skill Exchange
We provided professional event staffing support for Adobe Experience Makers – The Skill Exchange e, a large corporate conference hosted at Convene in Lower Manhattan. The event welcomed approximately 600 attendees throughout the day and required organized coordination, professional guest interaction, and reliable operational support across multiple conference sessions.

Our team consisted of 7 experienced event professionals, including 3 registration staff members and 4 session scanner staff. Throughout the event, the team managed attendee check in, badge scanning, wayfinding assistance, and guest flow between sessions to help maintain a smooth and organized conference experience from start to finish.
Because of the client’s positive experience with NYE Staffing during previous activations, several returning staff members were specifically requested again for this event. Having familiar team members onsite helped create continuity, faster onboarding, and a stronger connection with the client’s operations team.
The event required detailed scheduling coordination and full operational coverage from 10:00 AM through 6:30 PM. Our staff remained engaged and guest focused during the entire conference, helping attendees navigate the venue, access sessions smoothly, and receive assistance whenever needed.
A major part of the event’s success came from the leadership shown by Antonio, whose initiative and hands on support helped keep operations organized throughout the day. The client specifically recognized his professionalism, communication, and ability to lead by example while supporting both the NYE Staffing team and the event organizers onsite.

This private event brought invited guests together for vehicle showcases, hospitality, and personal brand moments. Guests moved between activities, dining areas, and car displays, so smooth service was important from start to finish.
